Exhibitor's Blog #5
‌
‌

It's getting close now...

Just this week and next week and then it's show time!
If you're newly booked in, then welcome to the weekly newsletter especially for Oxford Indie Book Fair Exhibitors. If you'd like to catch up on previous weeks, with tips on what to do then visit the Exhibitor Centre page on the website

‌

DEADLINES

We're beginning to bring together all the final bits and pieces, which also means that there are some deadlines to be aware of.

BROCHURE
We're making a small printed brochure for visitors. This will include an exhibitor directory. You now have until the END OF THIS WEEK to make sure that your profile is set up or you risk having incorrect information printed. This would be an absolute disaster for you. We will NOT be chasing people for information, so it's 100% up to you to make sure that at the VERY least your name, listing name and categories are set up. You should also decide whether you are going to participate in the voucher scheme.

LANYARDS
Each table will have lanyards for exhibitors and their helpers. Those will be printed with your Listing Name on it (next year, you will be able to choose the wording on them).

VIDEO ADVERTISING
The deadline for booking and submitting materials for the video advertising is THIS FRIDAY 22-NOV. If you have booked, but have not submitted your ad materials then you risk not being included in the video roll.

REMINDERS FOR THE DAY

If you haven't studied the information regarding what to do on the day, then please take a moment to do so now. We've included as much information as we can to help make everything go smoothly, particularly in the morning during setup.

SET UP
Right now, we're deliberating on the simplest method of getting 150 exhibitors in through the door without trouble,
We may stagger the arrival times, but whatever we do, it will be best if we avoid everyone turning up at the same time and causing chaos. So, don't panic and arrive on the dot, don't arrive early -- unless you enjoy talking with Oxford's polite but efficient parking enforcement officers, DON'T try to park at the venue, there IS NO PARKING AT THE VENUE FOR EXHIBITORS.
Just relax and rock up to the venue, there will be plenty of time to get ready.
In the event that things get a little crushed on entry, the stewards will ask exhibitors to queue in the corridor, or wait outside ... I seriously doubt we'll come to that, but just be prepared for a little patience in order to keep EVERYONE safe and comfortable.
The one unavoidable bottle neck is that there is ONE small lift and it's SLOWWW. So although you shouldn't take any risks, only use the lift if you NEED it.
Our troop of helpers will be on hand to help carry things up. It's thirsty work of course, so if you decide that they might need some additional lubrication, we'll have a jar behind the reception desk at the main entrance. Don't worry, we'll feed them heartily, so things don't turn ugly!

So... are you ready for the BIG one?

It looks like we are! *

Andy, Sylvia, James, Felicity, Ray and Shona

* Fingers crossed.
